Privacy notice

How we use the personal information you give us, and your rights under UK data protection law.

To confirm with Gear Bikes: A starting draft for Gear Bikes to approve. It replaces the old policy, which was hosted on the developer's domain (gear.colinwaddell.com) and still referred to PayPal and the Data Protection Act 1998. Please confirm: the business's legal name (sole trader, partnership or limited company), your ICO registration, the email for data requests (the old policy used joe@gearbikes.com), and how long you keep hire ID copies.

Who we are

Gear Bikes (Gear Bike Shop), 19 Gibson Street, West End, Glasgow, G12 8NU, is the controller of the personal information described here. Contact us about your data at sales@gearbikes.com or on 0141 339 1179.

What we collect, and why

  • Messages from our contact form. Your name, email address, mobile number (if you give it), what your message is about and the message itself. We use them only to reply to you. Our lawful basis is your consent, which you give by ticking the box on the form, and our legitimate interest in answering enquiries.
  • Workshop jobs. When you leave a bike with us we take your name, mobile number and the work needed, so we can text you a quote and tell you when it's ready. Our lawful basis is carrying out the job you've asked for (contract).
  • Bike hire. Bookings are made and paid through FareHarbor, which collects your contact details, dates and payment under its own privacy policy. When you collect your bike we take a copy of your passport or driving licence as a deposit and keep it for the length of the hire. Our lawful basis is the hire contract.
  • Website statistics, only if you allow them in the cookie settings. See the cookie policy.

Who we share it with

We never sell or rent your information. We use a few trusted services to run the website and our bookings:

  • FareHarbor: hire bookings and payments.
  • Vercel (website hosting), Neon (the database that stores contact messages, in London), and Cloudflare (images and spam protection).
  • Formspree, which emails contact form messages to us.
  • Google: analytics (only with your consent), and Google Maps, which loads only if you choose to show the map.

Some of these providers may process data outside the UK. Where they do, they use safeguards recognised under UK law, such as the International Data Transfer Agreement or adequacy regulations.

How long we keep it

We delete contact form messages after 12 months, and copies of hire ID at the end of the hire, unless we need them longer for a legal reason.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, object to how we use it, or withdraw your consent at any time. Email sales@gearbikes.com. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
